Privacy Policy

This site is operated by Vending Machines Australia (ABN 63 099 686 608), trading as Free Office Vending. We are the entity responsible for the personal information collected through this website. We don't publish an email address on the site — enquiries come to us through the forms and by phone on 0401 NO COST  - 0401 662 678 — which keeps our inbox out of reach of scrapers and cuts down spam.

When you submit an enquiry or contact form we collect the details you type in: your name, business name, email address, phone number, suburb or city, approximate staff numbers, your current vending setup and any message you write.

We also record basic technical information about the visit — the pages you viewed, the page you arrived on, the site or search engine that referred you, and any campaign tags in the link you clicked.

We use your details to reply to your enquiry, work out whether a machine suits your site, arrange installation and servicing, and keep in touch about the machine at your workplace. We use the technical information to understand which pages and channels bring us enquiries so we can improve the site.

This site uses Google Analytics 4 to measure page views, phone-link clicks and form submissions. Google sets cookies and processes this data on our behalf, and it may be stored outside Australia. We don't send your name, email or phone number to Google Analytics.

We also store a short-lived identifier in your browser so a form submission can be matched to the page and referral source of that visit. You can block cookies in your browser settings; the site will still work.

When you submit a form, three things happen. Your details are saved to our access-controlled enquiry database. A notification email containing those details is sent immediately to our internal address, hello@freeofficevending.com.au, which is monitored by our team and forwarded to the operator handling new sites. Your details are also sent to our customer relationship management (CRM) system at VendSites.com.au, where they create a new lead record or update the existing record that matches your email address or phone number.

Alongside your contact details, those systems receive the page you enquired from, the page you first landed on, the site or search engine that referred you and any campaign tags in the link you clicked, so we know which enquiries came from where.

We don't sell your information. We share it only with the service providers who help us run the business — our website and database hosting, the email service that delivers our notifications, our CRM provider (VendSites.com.au), our analytics provider, and the technicians who install and service machines — and where we're required to by law.

Enquiry records — in our database, in our notification inbox and in our CRM — are kept while we're dealing with your request and for as long as we service a machine at your site, plus a reasonable period afterwards for our business records. You can ask us to delete your enquiry sooner.

Enquiries are stored in an access-controlled database and transmitted over an encrypted connection. Access is limited to the people who need it to respond to you. No online system is completely secure, so we can't guarantee absolute security.

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Call 0401 NO COST  - 0401 662 678 or use our contact form and we'll action it. If you're not happy with how we handle a privacy request, you can raise it with the Office of the Australian Information Commissioner.

We may update this policy as our services change. The current version is always published on this page with the date it was last updated.
